Our technology

The system behind your shortlist

Our consultants do not run your mandate out of a spreadsheet and a WhatsApp folder. Every role moves through Workkar, our own applicant tracking system, with AI ranking, background checks and reporting built into it. You never have to log in or learn it. You get the result: a shorter, cleaner, verified shortlist, and a straight answer about where every candidate stands.

  • Five stages, one board
  • Every score carries its reasons
  • Checks before the offer
  • Data hosted in India

Why it matters

You never log in.
You just get a better shortlist.

We built Workkar for ourselves, because a recruitment firm that mislays a resume, forgets a callback or sends an unchecked candidate into an interview deserves to lose the client. Everything below is what that discipline looks like from your side of the table.

See the services this runs on

A shortlist, not a pile

Every applicant is read against your actual requirement before a consultant opens the file, so the profiles that reach you are the ones worth an hour of your day.

One record per candidate

Resume, screening notes, salary discussed, notice period, interview feedback and documents sit on one card. Nothing survives only in somebody's inbox.

You are told, not asked

Stage changes go out to the candidate and to you as they happen. You should not have to send an "any update?" message on a Friday evening.

Checked before the offer

Identity, education and past employment are verified while the candidate is still in process, not after a joining date has already been promised to your plant.

Workkar is not sold, rented or licensed. There is no plan to pick, no seat to pay for and no software to install. It is how our team works. The shortlist is what you buy, and only when someone joins.

Applicant tracking

From Applied to Joined, on one board

Your role opens as a pipeline with five stages. Every candidate sits in exactly one of them, with the date they entered it. When you ask where the Quality Inspector search has reached, the answer is a screen, not a guess.

What happens at each stage

  1. Applied

Applications from the free Workkar job portal, our own database, referrals and walk-in drives land in one column. Duplicates are merged so the same person is never counted twice.

  2. Screening

A consultant calls. Notice period, current and expected salary, exact location, shift willingness, and the two or three things your job description actually turns on. Notes go on the card.

  3. Interviews

Slots offered, reminders sent the evening before, feedback captured on a scorecard the same day. Rounds, panels and no-shows are all on the record.

  4. Offer

Offer details recorded, documents collected, verification completed, and counter-offer risk flagged to you honestly while there is still time to act on it.

  5. Joined

We confirm the joining date with your HR, mark the placement, and stay in touch with the candidate through the replacement window agreed in your engagement.

While your mandate is live you get a shared view of this board for your own roles, filtered to your shortlist and interview schedule. It is a window onto your engagement, not an account you pay for.

Candidate and client records

Every call we make is written down

Behind the pipeline sits the part clients rarely see and always feel: a record of every conversation, on the candidate's card and on yours.

  • Screening call notes, in the consultant's words, dated and attributed.
  • Salary discussed, notice period, relocation view and shift willingness, captured as fields, so they can be filtered later instead of re-asked.
  • Your mandate file: the brief as you gave it, the agreed fee terms, the interview panel, and every shortlist we have sent you.
  • Follow-up reminders that do not depend on one person remembering.
  • If a consultant is on leave, whoever picks up your role reads the same history.

AI matching and ranking

The first pass is AI.
The decision is a person.

When 140 people apply for one CNC opening, reading order matters. Our system scores each applicant against your brief and writes down why, so a consultant starts with the strongest and can argue with the score instead of trusting it.

How we use AI, in plain words
94%

What the score is made of

Skills named in your brief, years on those skills, the city and commute, the salary band you set, notice period, and how recently the profile was updated. Nothing else.

  • Every score opens into a sentence you can read, not a number you have to trust.
  • Nobody is rejected by the system. A low score changes the reading order, never the outcome.
  • Name, gender, age, religion, caste, marital status and photograph are not inputs to the score.
  • Consultants overrule the ranking often, and we would worry about a month in which they did not.
  • When we send you a shortlist, the reasons travel with it, so your interview panel starts informed.

Updates and reminders

Nobody has to chase anybody

The most common complaint about recruitment is silence. Stage changes trigger a message to the candidate and a line in your update, on the channel each side actually reads.

WhatsApp Email SMS Phone call
  • Candidates hear when they move forward and when they do not. A clear no, early, is worth more than a polite silence.
  • Interview reminders go out the evening before and again two hours ahead, with the address, the gate to report at and the panel name.
  • Your side gets the shortlist, the schedule, confirmations and no-shows, without anyone having to ask.
  • Templates are in English, Hindi and Marathi, so a shop-floor candidate is written to in a language they read comfortably.
  • Every message sent sits on the candidate card, so we know exactly what was promised and when.

Scheduling and video interviews

Interviews that actually happen

Half the interviews lost in staffing are lost to coordination, not to the candidate. Slots, reminders, links and feedback all live on the same card as the resume.

  • You share your panel's free slots once. Candidates pick from them, and the calendar invite goes to both sides.
  • Video rounds open in the tool your team already uses. The joining link sits in the invite and in the reminder.
  • Plant and shop-floor roles usually still need an in-person round. We schedule those the same way, with the gate, the contact person and the documents to carry.
  • Feedback is captured as a short scorecard while it is fresh, so the second round starts from something written.
  • No-shows and reschedules are recorded honestly, because a pattern of them tells us something about the offer.

Background verification

Checked before the offer, not after the joining

A discrepancy found in week one costs you a notice period, a backfill and a difficult conversation. Found before the offer letter, it costs a phone call. Checks run with the candidate's written consent, and the candidate is told what was checked.

What we check

Identity

Government photo ID, name and date of birth matched against the profile and the documents submitted.

Standard

Education

Highest qualification confirmed with the institute or board: course, year of passing and enrolment number.

Standard

Employment

Last two employers: designation, dates, and reason for leaving where the employer is willing to state it. Payslips and relieving letters cross-checked.

Standard

Address

Current and permanent address confirmed, physically or by documented verification, depending on the city.

On request

Reference

Two professional references, usually a reporting manager and a peer, with the questions and answers written out.

On request

What the verification report covers

  • Candidate details as declared, set against the details as verified, line by line.
  • Each check marked clear, discrepancy found, or unable to verify, with the reason spelt out.
  • What evidence was seen: the document, the person spoken to, the institute or employer contacted.
  • The date each check was completed and who at WorkKar ran it.
  • The candidate's explanation, where a discrepancy was raised with them.
  • The signed consent form, attached.

We report what we found, including "unable to verify". We do not upgrade a doubtful check into a clean one to keep a placement alive.

Verification is included on permanent placements and quoted separately for bulk or contract hiring, where volumes change the work involved. It is agreed in writing before a search starts.

Reporting

The numbers we live by, shared with you

Every live mandate gets a written update: what came in, what we sent, what your panel did with it, and where the time is going. It is the same view our own consultants are measured on.

Shortlist quality

68% of profiles sent were interviewed

The single honest measure of a shortlist: how much of it your panel actually wanted to meet.

Security and data

Your vacancies and their resumes are not public property

A hiring brief tells the market what a company is building, and a resume is somebody's livelihood. Both are handled on that basis.

Encrypted in transit

Every page and every upload travels over SSL/TLS. Documents are stored on encrypted disks.

Role-based access

A consultant sees the mandates they are working on. Nobody browses the whole client list out of curiosity.

Audit logs

Who opened a resume, who changed a stage, who exported a shortlist, and when. Logs are kept and reviewed.

Two-factor login

Our team signs in with a one-time code on top of a password. Accounts are closed the day someone leaves.

Daily encrypted backups

Taken every day and kept encrypted, so a bad afternoon does not become a lost pipeline.

Hosted in India

Candidate and client data sits on servers in India. We will tell you the region in writing if your policy needs it.

DPDP-ready consent

Candidates consent to what we hold and why, can ask for a copy, and can ask us to delete it. Requests reach a named person.

NDA on request

We sign a non-disclosure agreement before you share the role, the salary band or the reason the seat is open.

What we do not claim. We do not display ISO or SOC 2 badges, because those certifications are not in place yet. When they are, they will appear here with the certificate number and the issuing body. Until then, ask us anything you like about how your data is handled and you will get a plain answer.

Confidentiality

Who can see what

Access is set per mandate, not per company. This is the shape of it, and we will put the same thing in writing on your engagement letter.

What each party can and cannot see in the WorkKar system
Who Can see Cannot see
Your hiring teamWhile the mandate is live Your own roles, the shortlist we sent, the interview schedule, feedback recorded by your panel, and the verification report for candidates you are offering. Our full database, candidates not shortlisted for you, and anything belonging to another client.
The candidateOn their free profile Their own profile and documents, the stage they have reached, every message we sent them, and what was verified about them. Your internal panel notes, the fee you pay us, and other candidates in the running.
The consultant on your mandateWorkKar staff Your brief, your pipeline and the candidate records needed to fill it, plus the search tools across our database. Mandates they are not assigned to. Access ends when the engagement closes.
Everyone else at WorkKarIncluding partner recruiters Nothing on your mandate unless they are added to it, in which case it is logged. Your company name on a confidential search, your salary bands, and your shortlist.

Running a confidential search? We can list the role without naming you, and disclose the company only once a candidate has cleared screening and signed a confidentiality undertaking.

Straight answers

The questions we actually get

Mostly from HR managers who have been sold a hiring tool before and would rather not be sold another one.

Bhushan Bagul, Founder and MD, +91 73873 63472
Manjushri Akolkar, Business Development Manager, +91 83083 06251

No. Workkar is not sold, rented or licensed to anyone, and there is no plan to change that. It is how our team works, in the same way a good workshop does not sell you its machines. What you get is the outcome: a verified shortlist, a pipeline you can see, and a written report. If what you want is a hiring system of your own, we will say honestly that we are not the people to sell you one.
